Snr Accounts Assistant / Office Manager

Overview of role:

Dublin North

Description:

We are currently looking to recruit an experienced Senior Accounts Assistant / Office Manager for a full-time permanent position based in Dublin 15 area

Our client a busy Freight Forwarding company is looking for candidate to join the team and report directly to the Financial Controller

Objective of role:

  • Assisting with all financial and bookkeeping activities
  • Assisting with the company IT function
  • Supporting the maintenance of the physical assets of the company and the facility
  • Supporting company compliance to regulatory and industry requirements/standards

Duties:

Financial and Asset Management

  • Support CFO with all financial aspects of the Company up to trial balance
  • Assist with accounts receivable and payable functions in accordance with Company financial policies
  • Assist with cash flow planning
  • Assist with the maintenance and repairs of physical assets and the facility
  • Meeting departmental, company, client and regulatory reporting requirements
  • Assisting with budget preparation
  • Ensure financial aspects of all jobs are completed promptly in accordance with all sales and purchase quotations. Monthly review of operational jobs & results

IT

  • Support with the communications and IT functions for the department – training will be provided however suitable candidate will be responsible for assisting team with any basic IT issues

Quality

  • Help improve the quality of systems information through monitoring of data input, TMS reporting, month end reporting, and exceptions reporting
  • Assist with assessing and updating departmental processes across the company.
  • Supporting Sales to meet customers’ needs – particularly quotations / tenders as necessary to customers and agents.
  • Maintaining standards of customer service
  • Contribution to the finance team through active participation in meetings

HR

  • Supervision of staff within Department

External relationships

  • Support CFO with banking relationship
  • Support CFO with external auditors
  • Help monitor our relationship with customers & suppliers, will involve annual meetings with selected key suppliers.
  • Develop relationship with IT vendors

Requirements:

Suitable candidate must have the following:

  • Preferably a partially qualified Accountant – ACCA or equivalent
  • Minimum of 3 years working experience within industry
  • (import/export environment would be an advantage)
  • Microsoft and O365 skills – advanced level
  • Experience of working in a QMS environment
  • Good communications skills

Salary on this position will depend on experience but range at €40K

Suitable candidate will be based in office for first 4 to 6 weeks for training, then once training is completed will work 4 weeks from home / 4 weeks from office

Salary:
€35,000 - €40,000
